• Using ZapSurvey's Invitation Message and Email Lists to invite recipients
ZapSurvey's email list and survey invitation features let you create and email list and have survey invitation messages sent directly via ZapSurvey.

There are several advantages and disadvantages of sending survey invitations via your own email program versus using ZapSurvey to send them directly.

Benefits of using ZapSurvey to send survey invitation messages: include the ability to easily track the status of each respondent and send follow-up messages to subsets of the email list (e.g. to those who have not yet responded). In addition, each respondent is provided a unique URL allowing the identification of respondents even if no background questions are included in the survey.

Invitations blocked or filtered as SPAM: is a problem that impacts all web services and is not unique to ZapSurvey. While ZapSurvey has undertaken numerous precautions to ensure invitations are delivered to intended recipients, no guarantee can be made that initiations sent using ZapSurvey will not be blocked or filtered as SPAM (unwanted or junk) email by one or more recipients. By sending survey links via your own e-mail program you may partially avoid this issue and you will typically receive better notification if your e-mail was blocked.

To send invitation messages from ZapSurvey, click on the Collect icon in the row for your survey on the Manage Surveys page. Then click on the button in option 3 to create a survey invitation. You can also send invitations and manage email lists by clicking on the Manage Messages button in the main navigation menu.

In order to send an invitation, you must first create an email list. If you have not done so already, there is a link from the survey invitation page to manage your email lists. You can also get to email lists management from the Manage Messages page.

Once you have created an email list, click on the button to send an invitation message. You will first be presented with a page where you specify the recipients of the message and the survey they are to respond to. After completing this page, you will then compose the actual invitation messages. From that page, you can set delivery options and also send a preview of the invitation to yourself.

At any time, you can view the status and history of your survey invitations on the Manage Message page. From there, you can drill down to view which of your respondents has responded to the survey as well as resend the message as needed to remind respondents to complete your survey or to send the message to new respondents.
